For a lot of compliance teams, AI still feels more like a risk than a tool. It’s new, it changes fast, and it’s often hard to see what’s happening behind the scenes. Your work depends on knowing exactly where client information goes and who’s accountable for it, so that hesitation is reasonable.
Before your firm adds any AI-powered tool, you should be able to get clear answers to a few basic questions. Where does my data go? Who’s checking the AI’s work? What happens if a policy changes?
Those are exactly the right questions. Here are our answers.
Your Data Stays in Our Hosted Systems
Customer data is not submitted to or processed by third-party AI providers. Searching, analysis, monitoring, or evaluation of your data using AI Policies happens within MessageWatcher’s hosted systems.
Here’s how that works in practice. AI is used only to help the MessageWatcher team write better monitoring rules, working from general industry knowledge. Prompts look like “customer complaints” or “political contribution issues for registered advisors,” never a client’s actual messages.
Once a policy is written, its rules run against your communications inside MessageWatcher, the same way monitoring has always worked. Your emails, texts, and social posts never leave the platform to train or inform an AI model.
People Review Every Policy
The MessageWatcher team builds AI Policies the way a careful compliance professional would work with a research assistant. AI proposes phrases and refinements. A person on our team reviews each one and decides what goes in. Nothing is published to customers until the team approves it.
The same review applies to updates. When we refine a policy, perhaps because a new scam is circulating or a regulatory focus has shifted, AI may suggest changes, but the team decides which ones are made.
That approach lines up with where regulators are focused. In its 2026 Annual Regulatory Oversight Report, FINRA emphasizes human involvement and oversight in managing generative AI risk, according to Goodwin’s review of the report.
You Control Every Setting
AI Policies are built so your firm decides how much AI-assisted maintenance you want. When you add a policy, you choose:
- How the policy is managed. Keep it AI Managed so it receives updates from the MessageWatcher team, or Create Copy to turn it into a Legacy Policy you maintain yourself.
- When updates sync. Weekly, monthly, quarterly, yearly, or only when you sync manually. With Manual Sync, you’ll see a reminder on the Policies screen when updates are available.
- Who the policy applies to. A policy only flags messages once you assign it to one or more of your groups.
Each policy also shows its built-in safeguards when you add it. Depending on the policy, these can require an administrator to approve AI updates before they’re applied, or require Search Analysis before an update is accepted. If you want to approve every update yourself, choose Manual Sync.
Updates follow the sync schedule and safeguards on each policy. One exception to know about: if a policy has AI Managed Deletion turned on, the MessageWatcher team can remove it once it’s deprecated or replaced by another policy.
Your Team Still Makes the Calls
AI Policies decide what gets flagged, but not what it means. Flagged messages appear in Flagged Review, where your compliance team reviews them, just as before.
AI doesn’t clear a message, escalate it, or take action on it; your team does.
The Bottom Line
AI Policies give you smarter, more current monitoring without asking you to give up control. Your data stays in our hosted systems. People review every policy. And you decide how each policy is managed, how often it updates, and who it applies to.
